The Kenya Revenue Authority (KRA) has published a step-by-step guide on how to create an invoice through the eCitizen system, which most Kenyans are already familiar with.

KRA requires that invoices are issued through the Electronic Tax Invoicing Management System (eTIMS) for easy tracking of transactions for tax purposes. For individuals and sole traders, the eCitizen system seems to be the most convenient way to start.

How to Create eTIMS Invoice on eCitizen

  • Log in to the eCitizen system with your username and password as you normally do.
  • In the system, navigate to the eTIMS invoice system and select the “Create Invoice” option from the menu.
  • Enter customer details, including their KRA PIN and some basic information. These are very important and require attention to avoid mistakes later on.
  • Proceed to the section that requires you to list the goods or services you want to sell. You will need to input the name, description, quantity, and price. This section is quite sensitive, and you must be careful to avoid errors that might affect the accuracy of the invoice.
  • Once you have checked that all the information is correct, you can proceed by clicking the “Create Invoice” button. The system will then generate the invoice within a matter of seconds.
    The final invoice will be available for download as a PDF. It will have a QR code and an official eTIMS invoice number. You can then download it onto your phone, print it, or send it to your customer.
    Other Options for Traders

If you are having issues with internet connectivity, you don’t have to worry. The KRA also allows traders to generate invoices using the USSD code *222#. This will be quite useful for small traders operating in areas with poor internet connectivity.

For traders and businesses that need advanced features, the main eTIMS portal will offer the necessary features to help you handle large transactions.
However, the objective of all the options available remains the same: to remain compliant with the law, issue valid invoices, and avoid future issues with the KRA.
